Direct RFQ: The Next Step in B2B Buying
Traditional B2B requests for quotation are slow.
A buyer prepares a specification, sends an email or PDF, waits for the supplier to check stock, calculate pricing and prepare an offer. The process may take hours or several days.
Direct RFQ changes this model.
What is Direct RFQ?
Direct RFQ is a private, structured request for quotation sent directly from the buyer’s system or AI agent to the supplier’s system or sales agent.
Instead of publishing a request on an open marketplace, the buyer sends it to a selected and verified supplier.
A Direct RFQ may include:
- product or part number,
- required quantity,
- delivery date and destination,
- technical specifications,
- Incoterms and payment terms,
- required certificates,
- acceptable substitutes,
- target price or budget limits.
The supplier’s system can automatically check availability, production capacity, customer-specific pricing, logistics costs and commercial rules before returning a quotation.
Direct RFQ is therefore not simply a digital form. It is a machine-readable transaction between trusted business partners.
Who is Direct RFQ for?
Direct RFQ is especially useful for:
- manufacturers buying components and raw materials,
- distributors serving repeat B2B customers,
- MRO and spare-parts suppliers,
- logistics and freight providers,
- packaging and industrial-material suppliers,
- contract manufacturers,
- companies managing recurring or urgent purchases,
- organizations already using ERP, procurement, PIM or CPQ systems.
It works particularly well where products can be described through clear parameters, identifiers, standards and delivery requirements.
When is Direct RFQ worth using?
Direct RFQ brings the greatest value when:
- the buyer and supplier already know each other,
- products or services are purchased repeatedly,
- pricing depends on quantity, availability or delivery date,
- the request contains many technical parameters,
- response time affects production or operational continuity,
- buyers need confidential, customer-specific pricing,
- purchase volumes are too complex for a standard online checkout,
- routine enquiries consume too much time in purchasing and sales teams.
It is also valuable for urgent sourcing, stock replenishment, replacement parts, spot transport and capacity-based manufacturing.
Why does it matter?
Faster quotation cycles
A valid quotation can be prepared in seconds or minutes instead of days, provided the necessary data and pricing rules are available.
Lower administrative costs
Purchasing and sales teams no longer need to repeatedly copy data from emails, spreadsheets and PDF documents.
Better quotation quality
Structured requests reduce missing information, incorrect quantities, specification errors and misunderstandings.
Customer-specific offers
Suppliers can calculate prices based on contract terms, purchase history, available stock, production capacity, logistics and credit conditions.
Private business relationships
Unlike broadcast RFQ platforms, Direct RFQ keeps the enquiry inside a trusted one-to-one relationship.
Foundation for agentic commerce
Direct RFQ creates the transaction layer required for AI agents to discover a need, request an offer, compare options, negotiate within approved limits and generate purchase and sales orders.
Direct RFQ does not mean uncontrolled AI
The language model should not invent prices, delivery dates or margins.
Critical decisions must remain controlled by deterministic business systems and hard rules, including:
- minimum margin,
- maximum discount,
- credit limits,
- approved customers,
- transaction value limits,
- compliance requirements,
- human approval thresholds.
The most realistic model is:
zero-touch for standard transactions, human review for exceptions.
The practical starting point
A company does not need a fully autonomous AI agent to begin.
The first step is to make RFQ data structured and machine-readable:
- define the information required for a valid quotation,
- standardize product and customer identifiers,
- connect pricing, stock and documentation,
- create a structured RFQ intake process,
- automate repeatable quotations,
- add agent-to-agent communication only when the foundations are ready.
Direct RFQ is not about replacing relationships in B2B.
It is about removing the administrative delay around those relationships.
The future B2B transaction may no longer begin with a website form or an email.
It may begin when one business system detects a need and asks another business system:
Can you supply this product, in this quantity, under these conditions — and what is your best valid offer?
